Provide administrative services to Fire Department and provide support as a Community Liaison for the Emergency Management Division.


Coordinate, present and administer customized Emergency Management information and education to community stakeholders in support of City of Victoria Emergency Management public education initiatives.

Coordinate with other municipal departments, outside governmental and non-governmental agencies, and other community stakeholders to organize and present emergency management preparedness information at workshops and special events while referring to appropriate City staff for further assistance and support.

Maintain inventory of emergency management supplies and educational materials. Update Emergency Management’s electronic filing system including documentation, volunteer training records, and metrics related to emergency management events.

Respond to routine inquiries from staff, other city departments, outside agencies, and the public on emergency management issues; refer to appropriate City staff for further assistance.

Participate in operational support roles for documentation and logistics units upon the activation of an emergency operations centre.

Perform administrative duties for Emergency Management, Training and Administration Divisions. Preparation of a variety of letters, memos, forms and reports, production of presentation materials, transcription and distribution of minutes, and any other administrative duties as required.

Provide clerical support to assist in the coordination of training of fire department personnel by making travel arrangements for the training division, arranging facilities and training materials, completing expense claim forms, cheque requisitions, and monitoring and reconciling training expenditures for employees. Complete data entry of employee training and certification records in Fire Department Manager (FDM) software.

Perform related duties where qualified.

Effective communication skills, verbal and written.

Type 40 wpm; working level operation of current City of Victoria word processing and database programs.

Maintain accurate records.

Take and transcribe action minutes.

Use standard office equipment.

Establish and maintain effective working relationships.

Deal effectively with the public and outside agencies.


Formal Education, Training and Occupational Certification:

High school graduation.

Post-secondary education, completion of a Certificate program in a field directly related to Emergency Management, Public Education or Communications. (1 year)


1 year of office experience supplemented by related emergency management experience or, an equivalent combination of work or volunteer experience and education.
