APERÇU DU POSTE

Nous recherchons actuellement un administrateur des ventes et du service pour rejoindre notre équipe de Clientèle privée Assante. Dans ce rôle, le candidat retenu devra être une personne enthousiaste et positive, dotée d’excellentes compétences en matière d’organisation, de communication et d’informatique, ainsi que de la capacité à établir des priorités et à gérer une charge de travail complexe. En plus des tâches administratives, le candidat retenu sera chargé d’assister les conseillers dans diverses tâches financières.

RESPONSABILITÉS PRINCIPALES

Travailler avec les autres départements de la société, coordonner et assurer le suivi du flux de travail. Assurer la liaison et entretenir de solides relations avec les services internes (administration Clientèle privée, groupe de politique de placement [PP], bureau de négociation Clientèle privée, Solutions gérées), les CP et les dépositaires (Services aux investisseurs RBC, NBCN). Préparer les documents relatifs aux nouveaux comptes, les documents commerciaux et vérifier l’exécution des transactions. Préparer les rapports de dépenses et autres documents confidentiels importants. Coordonner, programmer et planifier les réunions, les déplacements et autres détails logistiques pour l’équipe. Préparer des documents, des rapports et des présentations liés au client, selon les besoins. Maintenir des bases de données, des dossiers et des rapports mensuels variés. Gérer et hiérarchiser le flux de courriel. Coordonner et tenir à jour les calendriers de plusieurs associés. Tâches administratives ponctuelles et projets spéciaux selon les besoins. Enquêter sur les problèmes liés au compte, recommander et mettre en œuvre la meilleure solution possible convenue pour le client en temps opportun.

COMPÉTENCES REQUISES

Minimum de 2 à 3 ans d’expérience en tant qu’assistant administratif. Expérience dans un environnement de services financiers. Connaissance des produits d’investissement (tels que les fonds communs de placement, les REER, les FERR, des connaissances en fiscalité administrative) est indispensable. Solides compétences en communication orale et écrite, complétées par de solides compétences interpersonnelles. Souci du détail et capacité à travailler sous pression. Excellentes capacités d’établissement des priorités et d’organisation. Attitude proactive et orientée vers le client; attention portée aux clients externes et aux employés à tous les niveaux. Solides compétences en MS Office (Word, Excel, Outlook, PowerPoint).

JOB OVERVIEW

We are currently seeking a Sales and Service Administrator to join our Assante Private Client team. In this role, the successful candidate will be an enthusiastic and positive person with excellent organizational, communication and computer skills, along with the ability to prioritize and manage a complex workload. In addition to administrative duties, the successful candidate will be responsible for providing assistance to advisors with various financial tasks.

WHAT YOU WILL DO

Work with, coordinate, and follow up on work flow with other company departments Liaise and maintain strong relationships with internal departments (PC admin, Investment Policy (IP) Group, PC trading desk, Managed Solutions), ICs and Custodians (RBC Investor Services, NBCN) Prepare new account paperwork, trade documents, and verify transaction completion Prepare expense reports and other important confidential documents Coordinate, schedule and plan meetings, travel arrangement and other logistical details for the team Prepare Client related documents, reports, and presentations as required Maintain various databases, records, and monthly reports Manage and prioritize email flow Coordinate and maintain calendars for multiple associates Ad hoc administrative tasks and special projects as assigned Investigate account-related problems, recommend, and implement the best-possible agreed-upon solution for the client in a timely manner

WHAT YOU WILL BRING

Minimum of 2 to 3 years of administrative assistant experience; Experience in a Financial Services environment; Knowledge of investment products (such as Mutual Funds, RRSP, RRIF, administrative tax knowledge) a must Strong oral and written communication skills complimented by strong interpersonal skills Detail-oriented and able to work well under pressure; Excellent prioritization and organizational skills; Proactive and customer-oriented attitude; customer focus towards external clients and employees at all levels Strong MS Office skills (Word, Excel, Outlook, PowerPoint)
