The Coordinator, Immunology reports directly to the Director of Immunology (Commercial) and manages simultaneously numerous administrative tasks and responsibilities inherent and in support of the Director of Immunology and the Director of Ethics and Compliance.

Main Responsibilities: 

In support of Immunology Director:

  • Coordinate, participate and write minutes in all Immunology Leadership Team meeting (ILT), extended ILT & Launch excellence meetings.
  • Aid the Immunology Director with presentations, draft memos, letters, e-mails when appropriate & BUD registration to congresses/events.
  • Prepare, coordinate and execute with the direction of Cross indications Manager or Manager Field Operations special events (InField Team Manager Conference, All For One meetings, off site immunology meetings …).
  • Act as a liaison to the Therapeutic Area (TA) coordinators in Immunology to identify and share best practices and assist on coordination of special projects (National Sales Meeting, internal events, celebration, Immunology town halls …).
  • Support Immunology Director with management personal & immunology calendar & expenses.
  • Assist the team with current projects or with specific information requests.
  • Monthly tracking of Promotional budget with Finance.
  • Conduct various administrative tasks (maintain several list databases, manage Immunology division Outlook calendar and invitations, answer calls, contact lists, take messages and respond to internal and external customers inquires (photocopies/scan and courier packages, order supplies as needed for team), assure that all communications are properly filed and saved).
  • Participate in task forces looking to streamline our internal processes.
  • Ensure stewardship of our resources and full compliance of projects with AbbVie’s ACC policy.
  • Onboard new employees (Full system training and ensuring proper system access).
  • In support of Director of Ethics and Compliance:

  • Responsible for Policy updates (formatting, etc.).
  • Update and maintain OEC SharePoint sites (contacts list, ACIF members, etc.).
  • Ensure FairPay tool updates (Manage list of various Fairpay user roles and Fairpay Champions).
  • Coordinate all OEC documents to be sent to translation.
  • Train on Fair Market Value (FMV).
  • Support IT requests.
  • Provide Powerpoint support for various presentations.
  • Review on a weekly basis LERN Trainings, follow up on uncompleted trainings and send reminders 1 week before trainings due.
  • On a monthly basis, follow-up with colleagues regarding upcoming expiring EDDs as part of Desktop Compliance.
  • Schedule meetings take minutes and follow up Action Items for monthly Collaborations meeting with MLOC (Medical, Legal, OEC and Communication) and monthly other MLOC meetings.
  • Circulate documents for Approval by ACIF
  • Tabulate and follow up on Non-RCI for ACIF meetings and Summarize data for entry into Global OEC site (Pathfinder).
  • Monitor Samples on Quarterly basis.
  • Support preparation of ACIF Meeting.

  • Qualifications

    Requirements:

  • College level degree in administration or equivalent
  • Minimum of 5 years in a similar role
  • Strong communicator in French and English, oral and written. Must be at advanced level in both languages
  • Proficiency with Microsoft office suite (Word, Excel, Power Point)
  • Solid experience with SAP
  • Experience in Pharma industry is a strong asset.
  • Knowledge and Skills:
